EFOS:Web is the foundation of the overall EFOS system. All
administration tasks can be undertaken using the web browser interface; no
specific hardware or software is required to use the system.
Crew Notices
The system satisfies JAR/CAA requirements for airlines to distribute important safety/security and operational information to
flying crews. Unlike a paper based system, this allows a full on-line audit
report to be available to managers and the regulator. Notices appear on the
system instantly; for safety or security information the timeliness of these
messages is crucial and unmatched by paper based processes.
Notices can be published to defined staff roles and assigned to
categories in text, PDF or FlashPaper format. Flight crew (or
any accountable role) can acknowledge/sign for notices.
Personalised Content
Every pilot and manager that logs into the site is presented with a
customised and prioritised view of the alerts and notices which they are
required to read. The home page displays all outstanding notices, alerts and
news items.
Electronic Library
The on-line reference library replaces the practice of producing
and distributing type specific and company manuals on CD Rom or paper. The
on-line library contains the definitive collection of books and can be
referenced securely anywhere with an Internet connection. Automatic archiving of
participating manuals is also achieved thereby satisfying JAR/CAA requirements.
EFOS is also able to provide a secure single-sign-on solution to external
technical libraries hosted by third party library service providers.
The library revision acknowledgement element of the system
replaces the process whereby a notification of a library revision is recorded
through the “letter of document transmittal” procedure. Users can instantly see
which new revisions have been issued and then employ the acknowledgement system
to inform auditors and managers that they are aware of important
changes to safety procedures or other aspects of the operation.
Report System
The report system is a highly structured and auditable way to
provide feedback to selected managers about important aspects of the operation
and is compliant with mandated JAR Ops data fields.
The system allows the author
to remain involved in the process and provides a structured data source which
can then be used to construct audits which highlight trends.
The report system connects the user with the company in a way that is much more
accountable than a paper based or e-mail system.
Key data from
the Journey Log can be entered into the EFOS “reports” module.
OTP and Fuel Analysis
EFOS contains a dedicated electronic journey log specifically
designed to record and analyse operational flight data. This system has the
ability to improve flight planning accuracy by highlighting planned versus
actual fuel burn, provide data to allow for the use of statistical contingency
fuels, identify poor performing aircraft, crews and routes, identify significant
on-time-performance trends and analyse operational passenger and cargo loads.
This system also provides essential data for compliance with carbon trading
schemes as are due to be introduced in the European Union in the near future.
Dispatch Area
EFOS includes a “dispatch” area for the delivery of flight
folders (and other operational information) to overseas bases and out-stations.
Operations staff will prepare and upload this information on a per flight basis,
as required.
Expense Claim Management
An expense claim management system is built in to EFOS. This
allows each member of staff to electronically submit expense claims and then
track these claims through to approval. The airline’s administrative staff can
approve, deny or return claims to the staff member; the entire process is
designed to minimise delays in payment, and eliminate paper from the process.
In
common with all aspects of EFOS the system uses structured data to provide
audits and analysis to spot unusual trends or predict operating costs.
Training Forms and
Records
EFOS provides electronic and generic JAR compliant training
forms (subject to consultation with the airline’s Flight Crew Training Manager
and flight operations inspector [FOI]) along with on-line questionnaires and surveys which can be used to
deliver technical refresher training and capture staff feedback. These forms,
questionnaires and surveys are part of a managed and auditable workflow system
which reduces the administration effort and provides structured information for
analysis.
The training form system provides each user with an electronic
training folder. Training managers can access these folders and extract data for
trend, risk and performance analysis purposes. The systems is also configured to
send trigger messages such as validity dates, pass/fail statements and
notification of under achievement (or exceptional attainment) to managers and/or
electronically to the airline’s
crewing/scheduling/records systems.
The training system is entirely (and externally) auditable by
the airline’s FOI.
Exams and Surveys
Users can complete examinations
or surveys at the time and place of their
choosing.
Managers can configure on-line surveys to gather valued opinion from
the workforce. Electronic exams and surveys are available to all staff,
individuals or groups.
Exams are automatically marked and results data made available for crew perusal,
audit and intelligent analysis purposes.
EFOS can feature a training library for quick reference to
pilots or cabin crew. Structured training data made can be made available for analysis and
audit purposes; this data can be used as part of ATQP qualification.
